Membership Renewals
Rita helps simplify the membership renewal process.
Note: You'll need membership, billing or full administrative privileges to perform membership renewals for your organization.
Step 1: Starting the Process
Go to Administration > Membership Levels and Renewals. Click or tap the View and Update button.

Step 2: Add or Modify Any Membership Levels
Depending on your organization, there may be multiple levels of membership with varying amounts. You are able to set up as many as you need by clicking the Add Membership Level button.

These membership levels correspond to the Member Type field when viewing or editing any member. This field determines their membership renewal and what membership level will be used when generating renewals.
For electronic payments, make sure the Payment Link field is filled in. This will give the member a clickable link to pay right from the invoice.
Step 3: Verify Your Membership List is Accurate
Click the Review Membership button. A list of all active members will open in a new tab.

The listing of all active members will load on the screen.

Use the search box to find a member or sort each of the columns by clicking the column heading.
To make any changes to a member or deactivate a member, click the Edit button. You'll be taken to the Edit Member screen to make any changes.
Note: All currently active members will appear in this list and will receive a membership renewal.
Step 4: Generate the Membership Renewals!
Click the Generate Membership Renewals to start the renewal process. You'll be taken to a preview screen where final edits can be made before sending to all members.

The preview screen lets you make any changes to the generated membership renewals.
Note: Click or Tap the Refresh List button to ensure the list has completely generated.

Click the Edit button to make any changes to the membership renewal: member type or amount. Click the Delete button to remove the membership renewal. Click the Preview Invoice button to see what the invoice will look like when being sent to the member.
A summary of the total number of membership renewals, the total that will be emailed and the total that need to be printed and mailed will be below the table.

Step 5: Email Message and Sending

Enter an email subject and message to all of the members. The email message field will let you style the message how you'd like. A link to the invoice and a thank you message will be automatically appended to the email sent.
Enter a due date of the renewal. This will show on the invoice and be used for sending reminders to members.
If any member replies to the automatic invoice email and you'd like to send replies to a certain person in your organization, select a person from your organization in the Send Replies To drop-down.
Click Save to save your email message.
Note: If you don't hit Save, your message will not send.
When you're ready to send renewals, click the Send Invoices button!

Your membership renewal invoices will be sent and you'll be taken to the View Outstanding Renewals page.

At the top of the screen will be a confirmation of the total number of emails sent and the total number of invoices to print and send. If there are any invoices to print and mail, a Print button will be showing. This will print all invoices for members without an email address.
Viewing Outstanding Renewals
If you've already generated and sent renewals, a View Outstanding button will be showing next to the View and Update button. This will be visible until all pending membership renewals have been paid or deleted.
